THE OPPORTUNITY

The Family Court Practice Institute (Practice Institute) is a public-private partnership among the New York State Unified Court System and the Center for Justice Innovation. The Practice Institute will elevate and promote high quality legal representation in the New York State Family Court through training and support of attorneys who represent children, parents, presentment agencies, and the related professions that comprise multidisciplinary holistic representation teams.

The Family Court Practice Institute team is seeking an Administrative Assistant to support the rapidly growing Practice Institute team. Reporting to the Deputy Director of the Practice Institute, the Administrative Assistant will work with administrative teams across the Center and work collaboratively with them as a representative of the Practice Institute to coordinate processing of invoices, contracts, expenses, and other administrative functions. The position will include substantive and administrative responsibilities and provides an opportunity to help support practitioners throughout family court, as the Family Court Practice Institute’s growing team develops comprehensive training curricula; a robust and comprehensive website that includes practitioner guides, caselaw updates and an LMS; local and national partnerships; learning collaboratives; and mentoring programs. In addition, the Administrative Assistant will support the administrative needs of the Practice Institute team and will serve a critical role in the development of this new Center initiative through coordination of and participation in the team’s project management system; developing a mastery of the Center’s administrative systems; and supporting the varied operational needs of the Family Court Practice Institute.


Responsibilities include but are not limited to:
  • Support the development of resource materials, such as tip sheets, checklists, and practice guides;
  • Prepare agendas and take minutes for meetings, trainings, and events;
  • Organize and manage the project database and keep files updated with agendas, meeting minutes, and correspondence;
  • Liaison, submit and shepherd contracts, extensions, and modifications in coordination with the Legal Department for consultants and sub-contractors;
  • Support the development of resource materials for presentations, training and website
  • Complete credit card reconciliation processes and submit regular expense reports for staff;
  • Process invoices and coordinate with the Fiscal Department regarding payments for consultants, sub-contractors, and other expenses;
  • Book transportation and accommodations for staff, consultants, and practitioners to travel to meetings, conferences, and trainings;
  • Coordinate development and assessment of protocols, procedures and best practices;
  • Manage calendars and schedule meetings;
  • Support regular communications efforts with external partners (emails, phone calls, convening);
  • Assist with the hiring and onboarding of new staff in coordination with Human Resources;
  • Assist in the planning and facilitation of training events and stakeholder meetings, including providing logistical support for registration, hosting webinars, and overseeing CLE and CEU credits for participants; and;
  • Other activities as needed.

Qualifications: Bachelor's degree or 3-4 years of experience working in an office/human service field or equivalent experience. Bilingual preferred (English-Spanish, or other languages). Interest and experience working in court or related systems a plus. Excellent written skills are a must. Facility with various software tools and applications. Candidate must be a skilled communicator, highly organized and detail-oriented, and able to work in a multi-disciplinary setting and maintain strong relationships with multiple stakeholders and organizations onsite, in the community and nationally. Occasional travel will be required.

Position Type: Full-time, Monday through Friday 9:30 AM - 5:30 PM

Position Location: Midtown Manhattan

Compensation: The compensation range for this position is $28.57 - $35.11 per hour, annually equivalent to $52,000 - $63,900 based on a 35-hour work week and is commensurate with experience.
