The Stipend Specialist will report directly to the Associate Director of Financial Operations and will support the Finance team by communicating process changes to local sites, while also assisting with reporting and compliance. The Stipend Specialist will execute and deliver on a range of responsibilities, including but not limited to student stipend processing.
To be successful in this role, you’ll be comfortable working independently and will thrive in a fast-paced environment where you’re asked to juggle competing priorities and deadlines. You’ll be asked to move with a sense of urgency and work with and across teams to ensure that departmental and site needs are met. You’ll be someone who enjoys thinking creatively and critically about how to constantly improve the functionality of the organization as a whole, offering input and suggestions. Prior experience in operations, project management, and finance is ideal, as well as an ability to be flexible and adapt to changing priorities.
In keeping with Year Up’s values, the Stipend Specialist will also have the opportunity to interact with students as a mentor, group facilitator, and advocate, participating in building a positive educational environment.
KEY RESPONSIBILITIES:
Student and Intern Finances
• Work with CRM and Payroll systems setting up new student payroll accounts
• Process bi-weekly student payroll, including mileage and contract events
• Provide management reporting to reconcile and approve stipend transactions
• Prepare and distributing Stipend Processing schedules for new cohorts
• Sort and delivery of stipend checks and vouchers
• Handle and process the Student Stipend Tax letter process
• Help bi-weekly with unmatched participants reconciliation
• Other duties as assigned
Site Support
• Communicate with Program Managers on the status of contract submission
• Work with Program Managers to record and schedule repayment of student advances
• Help to manage and oversee the Stipend Help ticketing system, specifically for high volume of student stipend related issues and questions
• Work with IT to assist with Stipend Related Contract Manager issues
Site Team/Learning Community Member
• Serve as a coach/mentor for a small number of current students
• Join and sometimes facilitate weekly group sessions with students
• Participate in staff meetings and trainings
QUALIFICATIONS:
• 0-2 years of work experience preferred
• Previous work experience in finance and/or a professional office setting desired
• Experience preparing budgets and financial reports preferred
• Experience with Salesforce.com and MIP, or another general ledger accounting system a plus
• Enthusiastic and professional personality with a strong focus on process improvement and customer service; excellent listening skills with the ability to drive technical requirements and solutions
• Excellent verbal and written communication skills and the ability to work effectively in a matrix organization
• Capable and comfortable in a quickly changing environment with high expectations
• Strong analytical skills, including a thorough understanding of how to interpret customer business needs and translate them into application and operational requirements
• Strong proficiency in Excel
• Experience preparing budgets and financial reports

Salary Range: Starting $20.67 Hourly

Year Up has established salary ranges for each of our sites, which allows us to pay employees competitively, equitably and consistently in different geographic markets. For roles in which the location is listed as flexible, the range displayed reflects the minimum and maximum target for new hire salaries for the position across all US locations. Salary offers take into account a candidate’s skills, experience, and location. Your recruiter can share more about the specific salary range for your location during the hiring process.
