WHAT YOU’LL DO
The part-time program operations associate plays a critical role in making sure corps members have relevant, timely, clear communication regarding program deliverables, events, and compliance. Additionally, they contribute to creating, managing, and upholding systems that allow for seamless operations within their regional community and equip corps members with the information and resources they need to navigate their corps experience. Program Operations Associates are responsible for working in partnership with the local program & partnerships team, ensuring smooth logistics & communication support for their corps experience.
Program Operations Associates will be managed by the Program Partnerships Team in Greater Philadelphia.
WHAT YOU’LL BE RESPONSIBLE FOR
Corps Member Compliance & Communication (80%)
Assist with compliance tracking & communication support for corps member deliverables & events
Support attendance tracking for CMs by tracking in-person attendance and supporting resolving CM attendance issues, as well as sending follow-up communication for those who miss a deliverable or in-person event
Support CM communications, particularly during the week after an announced deliverable or program event, by sending an initial email to announce a deliverable, a reminder about the submission, tracking progress, and handing final communication off to the MDLD after the deadline
Contribute to CM communications & compliance through virtual tracking & support of deliverables, attendance, and reminder memos
Support in-person events for CMs as needed
Support regional/cohort operations as needed
Certification & Confirmation Support (20%)
Assist with candidate confirmation during high-volume windows by calling a group of candidates (2-5 during a given window) to share more about their regional offer, answer questions about the experience in Philadelphia, and connect them with local resources
Support the program partnerships team with certification tracking for CMs by establishing a system of checkpoints, deliverables, and clarity on CM certification stages throughout the school year
Enhance local certification & confirmation efforts by supporting with systems, communication, and compliance measures as needed
A MONTH IN THE LIFE
Over any month, the Operations Manager will spend between 10 and 20 hours:
Checking in with TFA staff supporting corps members
Providing clear, timely communication about deliverables, events, and compliance requirements to CMs
Tracking CM attendance, deliverable submission, and compliance actions – and following up as needed
Connecting with CMs about their certification steps
Supporting regional confirmation efforts by connecting with candidates about their offer
YOUR EXPERIENCE
Your areas of knowledge and expertise that matter most for this role (minimum qualifications):
2 years of college experience required
Strategic Organizational and Time Management: Exceptional organizational skills, proficient in managing program logistics and operational tasks in a fast-paced environment
Customer Service and Support Orientation: Proven track record of providing excellent customer service, addressing the needs of CMs and colleagues with empathy and resourcefulness
Operational and Technical Proficiency: Comfortable managing operational needs and leveraging technology to ensure the smooth functioning of the program team and its systems
Collaborative Teamwork and Inclusivity: Experience in fostering a collaborative and inclusive environment, working effectively with diverse teams to support regional needs
Data-Driven and Analytical Approach: Skillful in using data and analytics to inform operational decisions and strategies, ensuring an efficient and effective learning environment
BONUS (preferred qualifications)
Previous Pre-Service, VSTT, or Institute experience strongly preferred
COMPENSATION
The Program Operations Associate role is compensated $28.03 hourly throughout the entire commitment. Compensation for Teach for America positions is determined based on role responsibilities.
DURATION
The start date for the Program Operations Associate role is October 1. During the first two weeks, you will spend time onboarding to our systems and familiarizing yourself with them. Part-time Staff Training for this role begins in October. This role will conclude in May 2026 alongside the 2025-2026 school year.
