ABOUT THE OPPORTUNITY

The Grants Manager will support and administer implementing partner grants and field grants for two projects collectively focused on championing a strong independent media sector in Central and Eastern Europe. This role involves working directly with counterparts at Internews’ HQ in the U.S. to ensure a smooth flow of sub-grant requests, sub-grant funding, and project documentation. The Grants Manager will maintain ongoing communication with sub-recipients regarding administrative questions and ensure that activities comply with funder requirements. This role will report to the Project Directors.

LOGISTICS

This role will be based in Budapest, Hungary. The successful candidate may work fully in-office or partially remote. Candidates who would prefer a partially remote designation should feel free to express this preference during the hiring process.

DAY-TO-DAY TASKS will include:

  • Work directly with counterparts in Internews’ HQ offices in the U.S. to ensure a smooth flow of sub-grant requests and documentation from project target countries and sub-grant funding to project target countries.
  • Administer a significant portion of Internews’ implementing partner grants in Central and Eastern Europe, as well as its field grant portfolio in Hungary, under the supervision of the Project Directors.
  • Maintain regular communication with Internews sub-grantees with respect to all financial aspects of project implementation, including the review of submitted proposals and budgets, procurement processes, reports, expenses, disbursements, and closing out of funding commitments.
  • Consult with Internews partners on various types of financial reporting and ensure that all reports are submitted by sub-grantees in a timely manner.
  • Review and approve sub-grantees’ financial reports (quarterly, final, etc.), request necessary amendments and corrections if necessary, and request necessary payments to subgrantees.
  • Coordinate with the project’s country-based staff and implementing partners (local NGOs) on the administrative and technical monitoring of subgrants.
  • Responsible for developing, translating, and updating grant agreements (in consultations with HQ counterparts).
  • Maintain an internal grant management database with grant submissions and related account information
  • Follow up, monitor, and evaluate the technical aspects of funded projects.
  • Responsible for maintaining sub-grant agreement and reporting files.
  • Keep Project Directors informed of all challenges, issues, and successes of sub-grantees.
  • Contribute to development of RFAs and other grant-making or solicitation documentation.
  • Collaborate with the finance staff to ensure that Internews, funder and local regulations are observed in sub-grantee grant execution.
  • Provide support as necessary when commissioning services from vendors and contractors, perform due diligence and vendor selection in compliance with Internews’ policies, funder and local/regional regulations, taking care of contractual documentation in collaboration with Internews’ HQ team, when necessary.
  • Follow changes in funder, Internews and local requirements.
    Represent Internews at external meetings if assigned by management.
  • Assists Project Directors in preparing reports, projections, implementation plans, etc., as needed.
  • Follow Internews’ guidelines on data security.
  • Perform other task as assigned by Internews management.

QUALIFICATIONS WE’RE LOOKING FOR:

Required

  • University degree or equivalent lived/professional experience.
  • Minimum 5 years relevant professional experience, including at least 2 years of experience in grants program management. Previous experience in design and oversight of RFAs, grants decision-making bodies, and grants administration and monitoring strongly preferred.
  • Experience in the project region or other similar operating environments required.
  • Demonstrated analytical abilities.
  • Strong computer skills particularly with MS Excel and Word.
  • Excellent organizational skills and attention to detail.
  • Ability to meet tight deadlines.
  • Ability to work effectively in stress related environments.
  • Ability to handle multi-faceted programs.
  • Ability to work with sensitive data and confidential information
  • Sensitivity to cross-cultural dynamics in the workplace
  • Fluency in English and Hungarian required

Preferred

Note: Candidates who do not have these preferred qualifications, but are interested and willing to learn, are encouraged to apply.

  • General familiarity with political, economic, and social issues in Central and East Europe.
  • Experience in federal grants management and U.S. government grant regulations is highly preferred.
  • Proficiency in Polish, Romanian, Armenian and/or Ukrainian languages is an asset
