We’re seeking a self-motivated, proactive, and collaborative Program Associate to support our Program Team with grants management, research, team coordination, and other logistical support.

About the Role

We’re seeking a proactive Program Associate to join our team and drive meaningful impact. Reporting to the San Francisco-based Program Officer, you’ll be instrumental in helping to manage our grants portfolio, particularly in India. You’ll collaborate closely with program staff and grantees globally, ensuring seamless team coordination, research, and communication. Enjoy the flexibility of a hybrid role with 2-3 days in our San Francisco office and the rest remotely.

Grant Management (50%)

  • Curate and update a pipeline of organizations (primarily in India) for our grant portfolio by researching, profiling, and helping source new grant opportunities
  • Support the grant lifecycle, from researching and updating organizational profiles to sourcing and evaluating new grants
    Keep our grant management system accurate and up-to-date with timely data entry
  • Serve as the go-to expert for technical, operational, and compliance support, collaborating closely with the Program Officer
  • Dive into grant reports in order to summarize key insights and provide feedback
  • Maintain an annual contact/site visit schedule with grantees; document grantee meetings and follow-up steps and draft grantee communications
  • Craft insightful materials, grant summaries, and presentations for Board meetings
  • Serve as the steward of our shared resources, ensuring they are up-to-date to enhance team communication and build institutional memory

Research & Communications (15%)

  • Stay ahead of industry trends by tracking field developments and summarizing key reports for the team
  • Conduct research to support strategic initiatives and create compelling communication materials for newsletters, blogs, and social media

Meetings & Events (20%)

  • Compile background materials and take charge of planning and organizing meetings, site visits, and events
  • Assist in planning, organizing, and executing events

Administrative & Logistical Support (15%)

  • Support scheduling and logistics for meetings and events
  • Help coordinate travel arrangements, including hotel and flight bookings
  • Collaborate with the Operations Team to accommodate visitors, including arrival instructions to on-site support

What we’re looking for

  • 5+ Years Experience: Background in the philanthropic or nonprofit sector
  • International Experience: Degree or experience in international education preferred; experience with low and middle-income countries a big plus
  • Analytical Skills: Strong organizational skills with a detail-oriented, strategic approach; ability to reprioritize as needed
  • Database and Tech Proficiency: Experience with databases and quick to learn new systems; strong computer skills with G-suite preferred
  • Collaborative: Demonstrated ability to build impactful relationships and trust with team members and stakeholders
  • Independent and Proactive: Capable of taking direction while exercising independent judgment and initiative; skilled in problem-solving and creative solutions
  • Time Zone Flexibility: Willingness to work across time zones and accommodate calls and meetings outside normal business hours
  • Travel Readiness: Able to travel internationally up to 10% of the time
  • Cross-Cultural Competence: Proven ability to work effectively across diverse cultures and languages
  • Feedback-Oriented: Open to feedback and focused on continuous improvement to enhance impact
  • Effective Communication: Excellent verbal and written communication skills
  • Language Skills: Hindi language skills are a plus
  • Work Style: Flexible, mature, with a sense of humor and ability to thrive in a diverse team environment

Compensation & Benefits

  • Competitive Salary with 401(k) match
