ABOUT THE OPPORTUNITY

The Program Associate (PA) will provide programmatic and administrative support for regional programs in South America under the supervision of the Americas Regional Programs Manager. The PA will be responsible for assisting with programmatic tasks, particularly related to preparing progress reports, making travel arrangements, organizing events and meetings, supporting monitoring and evaluation efforts, and other aspects of project planning and implementation. The PA will also provide administrative program support, tracking subgrant agreements, consultants, contracts, and payments. As needed, the PA will support research for new business opportunities. The PA will work in close collaboration with all members of the South America team within the Americas Program Management Unit (PMU), collaborating with relevant headquarters departments as required.

LOGISTICS

Internews has a US office in Washington, DC which supports a hybrid workforce with staff working remotely, fully in-office, and partially remote. This is a partially remote role, and candidates may work remotely on a hybrid basis (2-3 days per week in-office, and 2-3 days per week from a pre-approved remote location).

DAY-TO-DAY TASKS will include:

  • Assist program staff to ensure that documentation complies with funder requirements and Internews’ policies and procedures.
  • Prepare invoices, wire transfer requests, expense reimbursements, and payment requests, and support completion of monthly financial reconciliations.
  • Support maintenance of tracking systems for grant-related administration, such as travel plans, personal service contracts, outside service contracts, and data collection systems.
  • Assist in preparing project presentations, quarterly progress reports, proposals, and other project-related reports for South America programs: edit, revise, and collate finished materials in collaboration with the program team.
  • Prepare correspondence and reports from meetings, conferences, and discussion panels and assist on research.
  • Support special events and partner meetings, including coordinating agendas and travel logistics; represent team and Internews at events as needed.
  • Provide administrative support to the Americas team as requested.
  • Participate in regular pause and reflection sessions with colleagues and partners to inform project implementation and learnings.

QUALIFICATIONS WE’RE LOOKING FOR:

Required

  • University degree or equivalent lived/professional experience.
  • Up to two years’ relevant prior work experience.
    Professional proficiency in English and Spanish (written and spoken); Portuguese a significant asset.
  • Technical proficiency in Microsoft Office, particularly Excel.
  • Strong time management and organizational skills; ability to effectively manage a dynamic workload and shifting priorities while maintaining attention to detail.
  • Strong research and writing skills; editorial and/or copyediting skills preferred.
  • Proven analytical and problem-solving ability.
  • Proven ability to work bot independently and as an effective team-member.

Preferred

Note: Candidates who do not have these preferred qualifications, but who are interested and willing to learn, are encouraged to apply.

  • Prior lived and/or professional experience in the Americas region.
  • Prior relevant experience, preferably working with an international NGO, think tank, or within the development, media, or human rights sectors.
  • Familiarity with USG rules and regulations.
  • Monitoring and evaluation experience; familiarity with logic models and program management plans.
  • Experience preparing expense reports and budgets.
  • Online editorial or information curation experience.

This is an hourly, non-exempt position; the range for this position is US $50,800 – 63,500 per annum.
