As a Program Assistant for South America, you’ll be the engine behind our regional operations, handling important tasks from data entry and report generation to procurement and logistics. You’ll also support our Program Managers by triaging partner and patient inquiries and ensuring each question gets routed and resolved quickly.
Reports To: Program Manager, South America
Key Responsibilities:
1. Data, Analysis & Reporting
· Maintain and analyze program data to monitor performance and impact.
· Support report generation for internal decision-making and donor communications.
· Conduct periodic data audits to ensure accuracy and completeness.
2. Program Operations & Systems Support
· Assist Program Managers in day-to-day operations and regional initiatives.
· Handle routine inquiries from partners and patients, ensuring timely and professional follow-up.
· Help onboard and train partners in Smile Train’s program systems and tools.
· Troubleshoot basic tech issues and recommend improvements to internal workflows.
· Document and share operational processes and best practices.
3. Procurement & Administration
· Assist with cost comparisons, purchase orders, vendor engagement, and tracking deliveries.
· Organize internal documents and update shared resources.
· Take notes during key meetings and support the preparation of presentations and summaries.
4. Logistics, Events & Occasional Comms Support
· Support the planning and execution of events, trainings, site visits, and partner meetings.
· Coordinate logistics such as travel, accommodations, venues, and vendor communication.
· When requested, support the communications and education teams by collecting and organizing content (photos, videos, stories) and helping manage digital assets.
Required Education and Experience:
Experience: Minimum 3 years of work experience. Hands-on experience in coordinating initiatives, supporting program implementation, or engaging diverse stakeholders, internships, or nonprofit involvement.
Language: Fluent in English (official language) and Spanish (spoken and written).
Additional Eligibility Qualifications:
Experience with global health programs will be considered a plus.

Compensation Range: USD 14,000.00 to 16,000.00/year
