Reports To: Mr. Robert He, Country Director, Smile Train China
Summary/Objective:
The position is for an Interim Program Manager for Smile Train programs in China (Dec. 1, 2024 – May 30, 2025 (6 months), including handover period in Dec.). Due to the current full-time Program Manager at Smile Train Beijing Representative Office taking 6-month maternity leave starting late January, the recruited person will assist in completing outstanding tasks and undertake new assignments from Mr. Robert He. Upon the return of the full-time Program Manager on June 1st, the interim position will not be renewed.
Supervisory Responsibilities:
- Information Gathering and Reporting:
- Collect and organize updates and news from our 184 partner hospitals in China, focusing especially on announcements regarding changes in top management.
- Provide oral or written reports to Robert as required.
- Partner Engagement:
- Communicate with key departments (maxillofacial surgery/plastic surgery) within our major partner hospitals to understand their dynamic needs.
- Report findings to Robert
- Data Management and Analysis:
- Address common issues faced by hospital staff responsible for uploading STX records, ensuring timely submissions that meet Smile Train's standards.
- Organize, compare, and analyze current or historical data, delivering insights through oral or written reports.
- Survey and Questionnaire Administration:
- Assist in drafting and distributing various surveys and questionnaires.
- Confirm receipt of communications, address routine inquiries, and compile relevant responses.
- Grant Application Support:
- Help prepare and disseminate instructions for various fund applications.
- Monitor progress post-disbursement, supervise processes, address queries regarding fund usage, and collect necessary reports.
- Communication Coordination:
- Send agreements, notices, and letters to our 184 partner hospitals and/or volunteers.
- Confirm receipt, address routine questions, and gather feedback.
- Regulatory Compliance Assistance:
- Prepare documentation for pre-event reporting and post-event summaries as required by government and relevant partners (CCF/CSA).
- Event and Training Support:
- Assist in drafting and sending invitations and notices for large-scale events or medical training sessions.
- Ensure notifications are effectively communicated, collect Final Grant Reports, and coordinate with our vendors to deliver services.
- Marketing and Administrative Tasks:
- Collect and organize promotional materials for our programs.
- Update information on our website and social media platforms as per specific requirements.
- Undertake other logistical and support tasks as needed.
Travel:
This position is based in our Beijing Representative Office with no travel requirements.
Required Education and Experience:
Bachelor's degree in Medicine/Health/Social Work with 2-3 years of work experience.
Preferred Education and Experience:
Master's degree in Medicine/Health/Public Health/Social Work with 3-5 years of work experience.
Additional Eligibility Qualifications:
Strong project management and communication skills in Chinese required; working knowledge of English is sufficient.
Compensation Range:
- Monthly salary: RMB 10,000 (pre-tax)
- Payment schedule: Before month-end
- Full statutory benefits package based on RMB 10,000 salary base, including all mandatory social insurances benefits.
