Position Overview:
The Gift Processing Coordinator is a contracted position through June 2028 to support the gift administration team as they process an increased volume of gifts made to PIH. The team of 4 full-time staff members is currently processing 250,000+ gifts from 70,000+ unique donors annually. The Gift Processing Coordinator will be assigned with gift entry and donor data upkeep in PIH’s central fundraising database, Salesforce, and will be responsible for processing a variety of batches, performing complex data imports, and serving as primary backup of check deposits at the PIH Boston office. Prior experience in data entry is preferred.
Responsibilities:
Gift Processing and Record Administration (60%)
- Efficiently and accurately process assigned gifts and make biographical updates according to established business rules with at least a 98% accuracy rate.
- Import, format, and process gift files from various revenue sources, including lockbox deposits and donor advised fund (DAF) contributions.
- Manage and resolve data exceptions, ensuring clean and accurate gift records for downstream processing. Track and maintain an exceptions log.
- Own matching gift processing and support donors with matching gift inquiries.
- Support Senior Manager in identifying and addressing routine operational problems and data processing errors encountered by fundraising staff.
Office Administration (30%)
- Serve as the primary backup for retrieval, sorting, and processing incoming gift team mail to the Boston office, including depositing philanthropic, non-revenue, and finance invoice checks.
- Serve as the primary backup for all incoming and outgoing packages to PIH lockbox.
- Review materials returned by lockbox and scan in to send to appropriate team members to resolve.
- Oversee the depositing and processing of all charitable gift annuities arriving at Boston office.
- Process recurring or one-time credit cards in FundraiseUp.
- Upload letters to lockbox for declined credit card donations.
Gift Team Customer Support (10%)
- Provide timely and professional support to internal and external PIH stakeholders related to checks and mail received in the PIH office via ticketing system, Zendesk.
- Serve as backup to other gift team members on various tasks, including support tickets, tributes, and acknowledgement letters.
Qualifications:
- 1-2 years of prior data entry experience.
- Strong organizational skills and ability to multi-task and process high-volume transactions.
- Meticulous attention to detail when dealing with complex data files and processes.
- Handle all data confidentially with a high-level of accuracy and close attention to details.
- Must be available to work during East Coast working hours, Monday through Friday from 9am-5pm.
- Must be available to work the week between Christmas and New Year’s each year.

The starting salary for new hires in this position is $47,380/year and is non-negotiable.
