Job Summary

Lwala Community Alliance is seeking a dedicated and detail-oriented Procurement Officer to support our procurement operations. The ideal candidate should have a solid background in procurement and supply chain management within the not-for-profit sector, ensuring the efficient and ethical sourcing of goods and services to meet the needs of our program operations.

Role and Responsibilities

  1. Prepare Annual Procurement Plans for the purchase of equipment, services, and
    supplies working in collaboration with internal stakeholders (Program Managers and
    Coordinators) to determine procurement needs, quality and delivery requirements.
  2. Consolidate and undertake quarterly review of Procurement plans.
  3. Receive, review and process purchase requests (PR).
  4. Prepare Requests for proposals, Invitation to Bid & Requests for Quotations as
    required.
  5. Prepare tender analyses for Procurement Manager, Budget holder and Procurement
    Committee approval.
  6. Prepare Purchase Orders with support documentation.
  7. Develop appropriate service level agreements to properly evaluate the performance of
    suppliers, and report on this on a regular basis.
  8. Responsible for order placement timing, supply / demand alignment, material
    replenishment and supplier performance.
  9. Ensure that invoices received reconcile to purchase orders and created and matching
    receipts to purchase orders.
  10. Ensure three-way matching of purchase order, Invoice and GRN.
  11. Undertake monthly tracking of procurement orders and ensure timely delivery and
    payment initiation.
  12. Site visits to prospective suppliers and their clients.
  13. Market Research and evaluation of prospective suppliers for new procurements

Qualifications and Experience

Education

i) Bachelor’s degree in Procurement, Supply Chain Management, Business Administration, or a related field.
ii) Relevant professional certification (CIPS)
iii) A certified member of a Procurement body and with a registered, valid license

Experience

i) Minimum of 4 years of progressive experience in procurement and supply chain management, preferably within the not- for profit sector.

Skills

i) Analytical and strong knowledge of procurement principles, practices, and regulations.
ii) Excellent negotiation, communication, and interpersonal skills.
iii) Proven ability to develop and implement effective procurement strategies.
iv) Proficiency in procurement Microsoft Business Central and Microsoft Office Suite.
