Department Function: The Social Impact Accelerator (SIA) develops and implements processes, systems, and structures to facilitate, coordinate, and holds IFF accountable for equity in practice, cross-functional collaboration, innovation, scaling of impact, and systems change. SIA comprises five integrated functions: Strategic Insights; Strategic Response; Organizational Learning; Sector-Based Strategy; and Equity, Diversity, and Inclusion.

Basic Job Function

The Project Associate, SIA provides project management support for the SIA-led and cross-departmental projects. The Project Associate works on many projects simultaneously, participates in departmental planning meetings for projects, is an active project team member and supports the work of SIA Project Managers and Program Managers, and as necessary, SIA Leads.

Requirements

Core Responsibilities:

1. Assists Project Managers and Program Managers in coordinating various aspects of project management, including scheduling internal and external meetings, completing assigned project tasks, and supporting other project team members in completing their tasks to meet project goals and milestones.

2. Supports internal and external project meetings.

  • For virtual meetings, corresponds with meeting attendees to confirm attendance and responds to or directs meeting inquiries.
  • For in-person meetings, books meeting spaces/venues; manages room set-up; coordinates attendance; and makes other arrangements, including catering, to ensure a smooth and effective meeting.
  • Creates, edits, assembles, and distributes meeting agenda and materials; takes meeting minutes; and supports meeting follow up.

3. In coordination with the Operations Manager, ensures the timely processing of contracts, invoices, and check requests for assigned projects.

4. Collects, edits, enters, and verifies project data, as required, and maintains project files, including ensuring accurate and complete project files as a part of project closeout.

5. Manages project communications channels and routes calls and emails to the appropriate party for action, information, and response.

6. Maintains required job knowledge and skills and core professional competencies. Attends and participates in required educational programs and staff meetings, while pursuing independent professional development activities.

7. Demonstrates a commitment to equity, diversity, and inclusion. Promotes an environment of empathy and respect, ensures the inclusion of all team members, and will actively engage in EDI events and learning opportunities.

8. Performs other projects as assigned.

4. Maintenance of all files, contacts, reports, and systems in a timely and accurate manner to ensure ready retrieval of information.

7. Models personal accountability that promotes ownership and engagement.

Position Qualifications:

Education: College degree or equivalent combination of education and/or experience required.

Previous Experience: Two or more years of related experience

Additional Requirements: Moderate local and regional travel to other IFF offices to support projects in those markets. Occasional early start or extended hours and evening and weekend work may be required.
