Project Description

A disease can spread from any remote village to any major city on all continents in as little as 36 hours. Increased international travel and trade, population growth and movement, greater urbanization, and insufficient attention to existing weak health systems are key drivers for the emergence of infectious diseases.

The U.S. government’s (USG) Global Health Security (GHS) program provides life-saving assistance to prevent, detect, and respond to infectious disease threats that pose risks for public health outbreaks. As part of the USG’s GHS program, the STRengthening Infectious disease DEtection Systems (STRIDES) Activity advances cross-sectoral efforts to successfully identify, manage, and respond to infectious disease threats, detect and prevent further outbreaks, and strengthen national disease detection and surveillance systems.

STRIDES supports national governments to strengthen core capacities—including laboratory and surveillance systems and emergency response operations—to improve compliance with International Health Regulations (IHR) and enhance overall global health security.

Position Summary

The Office Support Assistant, Messenger provides administrative, messenger, and operational support to ensure the efficient day-to-day functioning of the STRIDES Project office. The position assists with handling incoming and outgoing mail, document delivery and collection, office logistics, meeting arrangements, and general office services.

Working under close supervision, the incumbent supports routine administrative tasks, facilitates document movement between the office and external institutions (such as banks, government offices, and vendors), and assists with office facility coordination. The role also monitors office maintenance services, including supervision of cleaning staff or contracted cleaning service providers, to help maintain a safe, organized, and professional workplace environment for staff, partners, and visitors.

Key Responsibilities and Accountabilities

Office Operations & Administrative Support

• Receive, sort, and distribute incoming mail, documents, and courier packages (domestic and international).
• Deliver and collect official documents from banks, government offices, vendors, partner organizations, and other institutions as required.
• Provide photocopying, scanning, filing, and general document handling services and maintain organized administrative and procurement files.
• Assist the Admin & Procurement Officer in coordinating with vendors, including collecting quotations and supporting submission or delivery of procurement-related documents.
• Maintain office supply and store records, including receiving, storing, and issuing office supplies and materials as instructed.
• Maintain vehicle movement and logbooks and coordinate with drivers to ensure records are properly updated.
• Provide reception support when needed, including greeting and directing visitors.
• Provide logistical support for routine office operations and meetings.
• Perform other related administrative or operational duties as assigned by the supervisor.

Office Maintenance & Facility Coordination

• Monitor and supervise cleaning staff or contacted cleaning service providers to ensure office cleanliness standards are maintained.
• Regularly check office common areas to ensure they remain organized, safe, and functional.
• Report maintenance, safety, or facility issues to the Admin & Procurement Officer.
• Coordinate with building management or service providers regarding minor maintenance needs.

Meeting & Hospitality Support

• Provide logistical support for in-house meetings, workshops, and office events.

• Arrange meeting rooms and ensure required materials and equipment are available.

• Prepare and arrange tea/coffee and refreshments for staff and visitors during meetings as instructed.

• Assist with administrative and logistical arrangements related to event procurement, including collecting quotations, coordinating with vendors, and supporting delivery of event materials when required.

Problem Solving & Impact

• Handles routine tasks following established procedures and guidelines.
• Identifies basic operational issues and refers non-standard matters to the supervisor.
• Errors are generally limited in scope and can be corrected quickly with minimal disruption to office operations.

Supervision

• Works under close supervision with clear instructions and regular performance monitoring.
• Regular interaction primarily within the immediate work unit for information sharing and coordination.

Education & Experience

Secondary School Certificate (SSC) or equivalent required; Higher Secondary Certificate (HSC) preferred.
Minimum 2–3 years of relevant experience
in office support, messenger services, administration, or similar roles.
• Experience working in an NGO, development project, or corporate office environment will be an advantage.
Demonstrated familiarity with basic office procedures and standard office equipment.
Basic reading, writing, and communication skills in English
required.
Fluency in Bangla (host country language) is required.

Technical Skills & Equipment

• Ability to operate photocopiers, scanners, and other standard office equipment.
• Basic knowledge of email communication and mobile phone usage.
• Basic organizational and communication skills.

Physical Requirements

• Ability to sit and stand for extended periods.
• Ability to carry or move light documents and office materials.
• Work is performed in a typical office environment.

• Basic computer skills with working knowledge of Microsoft Office applications (Word, Excel,

PowerPoint).
