Position: Finance /Accounts Officer
The Finance /Accounts Officer manages financial transactions, reconciliations, and reporting for FHI 360 Nepal, ensuring compliance with organizational policies, donor agreements, and statutory and regulatory requirements. The role processes payments, reviews invoices and travel claims, maintains accounts, supports audits, and provides timely financial information to support management decisions.
KEY RESPONSIBILITIES
- Review vouchers/invoices submitted to FHI 360 Nepal in order to verify items claimed are in accordance with an agreement and actually delivered or performed.
- Payment process in Digital Process Automation (DPA) system and Global Finance and Administration System (GFAS).
- Prepare and review wire payment details of payee in online banking system Straight to Bank (S2B).
- Review & ensure accuracy of accounts maintained in S2B.
- Develop monthly and quarterly financial reports for submission to FHI 360 Asia Pacific Regional Hub (APRH) & Headquarters (HQ)
- Ensure proper functioning of FHI 360 GFAS accounting system and coordinates with HQ & APRH as required for ongoing updates.
- Prepare monthly bank reconciliation statement and balance sheet reconciliation for the monthly closing of GFAS
- Upload balance sheet reconciliation in Share point.
- Ensure timely submission of GFAS report to HQ with all supporting documents.
- Preparing weekly cash flow request.
- Update monthly progress indicator.
- Ensure timely payments and reimbursements made for consultants.
- Ensure timely reimbursement for FHI 360 implementing partners agencies in accordance with FHI 360 and funders agreement/contract.
- Maintain regular contacts with the bank, vendors and service contractors as required.
- Review travel claims for correction and verification that the claim conforms with travel authorizations and regulations regarding route, perdiem, accommodation, and use of proper transportation, determining if a travel advance was issued and computing the amount due to the traveler or FHI 360 Nepal.
- Initiate correspondence to verify data, answer queries and obtain additional information on financial transaction as required.
- Assist in carrying out internal and external auditing functions.
- Perform other related duties as assigned by supervisor or Associate Director Finance and Grants/Contracts or Country Representative.
REQUIREMENTS
- Bachelor’s degree in accounting, finance, or business management with at least three years of relevant work experience. A master’s degree in a related field with relevant experience will be preferred.
- Excellent knowledge and experience with accounting and financial system
- Experience in computerized accounting systems.
- Knowledge of donor compliance and financial regulations, including experience with USG or similar donor-funded projects.
- Ability to assist in internal and external audits, ensuring proper documentation and timely responses to audit queries.
- Experience in preparing and analyzing financial reports, cash flow projections, and reconciliations to support management decision-making.
- Proactive in managing multiple tasks, managing, and working in virtual work environment, and flexible and open for managing time for working with different teams in different time zones as needed.
- Excellent interpersonal, organizational, communication, team building and management, and problem-solving skills.
- Good verbal and written English and Nepali including documentation skills
